Travel information

Reservations

Checking reservations
If the surnames, personal details or travel details are not (entirely) correct in this confirmation, this must be notified to the ATPI booking office on the same day on which you receive confirmation.  The name on the ticket must correspond to the name in the passport. In the new generation of passports, only the maiden name of married women is recorded in the electronic passport data. Bear this in mind!  In the event these are not notified on time, the costs of changing the details are charged to the traveller.

Flight changes
The flight information recorded on your travel confirmation is subject to change by the airlines. You can see changes to scheduled flights online in your travel schedule if you click on the hyperlink in the e-mail you received from us. Changes to flights of low-cost airlines (EasyJet, Ryanair, etc.) cannot be seen.

Terms and Conditions

If a journey is undertaken with a final destination or a stopover in a country other than the country of departure, the transport of passengers may come under the provisions of the Warsaw Convention, which generally limits the liability of the carriers in the event of death or physical injury and in the event of loss of and damage to baggage. Click here to find further information about the Warsaw Convention.

Health and safety

The Foreign & Commonwealth Office provides travel advice to help UK Citizens prepare themselves for their foreign travel. Click here for the site.

To make further improvements to safety and security in Europe, certain airlines are no longer permitted (by the European Commission and the air transport inspection services) to operate within European air space. Click here for the European Commission’s website.

Travel documents

E-tickets
With an electronic ticket, all details are on the airline’s computer and no paper document is issued. You do not therefore need to collect anything at the airport. You just need to check in first before you go to the gate.

Flight route order
Tickets can be used only in the order in which the flights are listed on the ticket. In compliance with this order, you yourself as the traveller are responsible for a potential refusal when checking in, cancellation of other flights and/or compulsory surcharges.

Passports, visas and inoculations
Travellers are responsible at all times for the correct travel documents. The ATPI Business Travel Consultants will be happy to advise you about the documents you need such as a valid passport or visa. You will need to notify us of all relevant information regarding your nationality or other details. ATPI co-operates with several visa offices.

Destination USA
The American Department of Homeland Security has laid down a law that all airlines are obliged to send personal details of their passengers on flights to the US to the American border authorities. To comply with this law as passengers to the US, you must state the address, postcode, state and telephone number of your first overnight stay in the US when checking in. Please note that this information is vital if you are to be admitted to the US by the American border authorities. Information about you is treated confidentially and not used for commercial purposes. Click here for further information.

If you are travelling with children to the United States, they will need their own passport, even if they are on your passport.

ESTA
International passengers who want to travel to the United States of America on the Visa Waiver Programme have to comply with extensive security measures. ESTA, the Electronic System for Travel Authorization, replaces the current method (filling in a Visa Waiver Program form on board the aircraft). Airlines are heavily fined for passengers travelling without a valid ESTA declaration. Anyone who does not have a valid ESTA declaration will  be refused admission to the flight by the airline. An application costs $14.

The following countries are eligible to take part in the Visa Waiver Program and ESTA:

Andorra, Australia, Belgium, Brunei, Denmark, Finland, France, Germany, Iceland, Ireland, Italy, Japan, Liechtenstein, Luxembourg, Monaco, The Netherlands, New Zealand, Norway, Portugal, San Marino, Singapore, Slovenia, Spain, Sweden, Switzerland, United Kingdom.

All eligible passengers must apply for authorisation using the following procedure, which consists of four stages:

  • Fill in the application
  • Send off the application
  • Receive the application number and save it
  • Receive a reply to the application

You are advised to apply for authorisation at least 72 hours prior to departure.

APIS – Advanced Passenger Information System
Passengers travelling to certain countries are obliged to provide extra personal information prior to departure. The following details should be stated in advance:

  • Surname
  • Forename
  • Date of birth
  • Gender
  • Nationality
  • Passport number
  • The country in which the passport was issued
  • Passport expiry date

Passengers can pass on the necessary information in advance to ATPI or provide it themselves when they check-in. In order to avoid lengthy waiting times when checking in, it is recommended that these details are passed on to ATPI in advance. The APIS procedure currently applies to the following countries:

  • Australia
  • Canada
  • China
  • India
  • Japan
  • Mexico
  • Korea
  • United Kingdom
  • United Arab Emirates
  • United States (see also ESTA)

Destination China
The Chinese government has set up a new regulation with immediate effect concerning the issuing of (e-)tickets. The regulation is intended as an extra security measure and should speed up the check-in procedure at airports. As of today, the following details must be stated on the reservation:

  • Type of Passport
  • Passport number
  • Passenger’s nationality
  • The country in which the passport was issued
  • Passenger’s date of birth
  • Passport’s expiry date

Destination Turkey
All visitors to Turkey must apply for an ETA (Electronic Travel Authority) before arrival. Click here to request an ETA.

Destination Russia
Russian airport authorities have a no-tolerance embargo on the carriage of all liquids and gels through airport screening facilities throughout Russia. However, medicines may be allowed with the production of a doctor’s prescription or note.

Online check-in
Various airlines provide the opportunity to check in online in advance. We would strongly advise you to make use of it. This reduces the risk to you in the event the airline overbooks the flight. Our ATPI Business Travel Consultants can arrange this for you (on payment of a handling fee). Please contact your dedicated booking office to pass on your passport details for this. Click here for further information about online check-in.

Baggage allowances

Please check the website of the airline that you are travelling with for baggage allowances or information. Otherwise, please contact our ATPI Business Travel Consultants.

Service outside of office hours

If you call your dedicated booking office outside of office hours, you will automatically be transferred to ATPI’s 24/7 Service Desk, where the team will be on hand to assist you with any questions you may have.
